Signatures you can defend later

Every signature keeps a court-ready evidence base - who signed, when, how and with what identity - alongside a full audit trail of every action on the contract. Data stays in the EU under GDPR.

  • Audit trail and evidence stay with the contract, end to end

Defensible by design, not after the fact

Compliance work fails when a signature can be questioned and nobody can show how, when or by whom it was made. DokDesk records that evidence at the moment of signing and keeps it with the contract, so when a document is challenged you already have the answer.

The evidence base captured on every signature

Each signed contract carries a complete record of who signed, when and how.

Who, when and how

Signer identity, a timestamp, the signature level used and the method - recorded against the document, not in a separate log you have to reconcile.

Signer and technical metadata

The signer's email plus IP and device metadata, captured at signing time so each signature can be tied back to a real, identifiable act.

The right level, per document

Choose SES, AES or QES for each contract. QES carries the legal effect of a handwritten signature across the EU under eIDAS Art. 25.

Signed status and final container

The signature status and the final signed container are stored together, so the version a court would see is the version you keep.

GDPR and EU data residency

DokDesk handles contract and signer data inside the EU, under GDPR. For teams that have to answer where personal data lives and how it is processed, that question has a clear, documented answer.

Access is scoped to your workspace and to roles you control, so the people who can see a contract are the people you decided should.

  • Contract and signer data stays in the EU under GDPR
  • Role-based access - owner, admin, manager, legal, viewer - over contacts, templates, contracts and signed documents
  • No-account secure-link signing means signers' data is only what's needed to sign, nothing more
  • A clear data subject - the contract - rather than personal data scattered across email threads

An audit trail that stays with the contract

Every action is recorded on one live version, so the history is the record.

One live version, full history

Negotiation happens on a single up-to-date version inside DokDesk. The audit trail captures every change and agreement instead of leaving it in email.

Status and versions on the record

The contract holds its status, current version and a history of every action, so reviewers see the whole lifecycle in one place.

Controlled access by role

Each company works in its own workspace with role-based access, so who can view, edit and sign is governed - not assumed.
