DokDesk Cookie Policy

This Cookie Policy explains how DokDesk uses cookies and similar technologies, what we set them for, and the choices you have. It applies to the DokDesk website and is written to align with the EU General Data Protection Regulation (GDPR) and the EU ePrivacy rules, alongside the eIDAS framework that governs the electronic signatures DokDesk is built around. DokDesk is a secure contract workflow for the Baltics and the EU; this document covers cookies only and should be read together with our Privacy Policy. DokDesk is currently in early access (pre-launch), so this is a generic, template policy that we will tailor and date before public launch. DokDesk is not a law firm and does not provide legal advice.

Pre-launch draft - to be reviewed by qualified counsel before launch. This is not legal advice.

Pre-launch draft — review by qualified counsel required

This Cookie Policy is a generic, templated draft prepared while DokDesk is in early access (pre-launch). It is provided for transparency and as a starting point only. It has not yet been finalised, dated, or reviewed against the specific cookies and third-party services that DokDesk will actually use at launch.

Before DokDesk is made generally available, this document will be reviewed by qualified legal counsel and updated to reflect our final cookie inventory, any sub-processors we engage, our registered company details, and an effective date. Nothing here constitutes legal advice, and DokDesk is not a law firm. If you need advice on your own cookie or data-protection obligations, please consult a qualified professional in your jurisdiction.

What cookies are

Cookies are small text files that a website asks your browser to store on your device. They let a site remember information between pages or visits — for example, a setting you have chosen or whether you have already responded to a notice. We also use the term "cookies" loosely to include similar technologies such as local storage, session storage, and comparable browser mechanisms, because they raise the same privacy considerations.

Cookies can be "first-party" (set by DokDesk for the site you are visiting) or "third-party" (set by another service whose functionality appears on our pages). They can also be "session" cookies, which are cleared when you close your browser, or "persistent" cookies, which remain for a defined period or until you delete them.

How DokDesk uses cookies

During early access, the DokDesk website is designed to rely on strictly necessary cookies and similar storage that are required for the site to function and to remember your basic preferences — for example, recording that you have already responded to our cookie notice so that we do not show it to you repeatedly. These are essential to providing a site you have asked for and do not track you across other websites.

We aim to keep non-essential cookies to a minimum. This website uses Google Analytics 4 to understand, in aggregate, how the site is used. Its cookies are optional: they are set only after you accept them via the cookie banner, and if you reject, analytics stays disabled — we use Google Consent Mode, which defaults to denied. We do not use this website to build advertising profiles about you.

DokDesk is a contract workflow product, not an invoicing, payments, accounting, or CRM tool, and this website does not deploy cookies for any of those purposes.

Categories of cookies we may use

Strictly necessary cookies and storage: required for core site functionality and security, and to honour the choices you make (for example, your response to the cookie notice). Because these are essential to a service you have requested, they are generally used without separate consent, but you can still block them via your browser at the cost of some functionality.

Preference cookies: remember choices that improve your experience, such as display or interface settings. Where these are not strictly necessary, we will treat them accordingly under the applicable rules.

Analytics and performance cookies (Google Analytics 4): help us understand, in aggregate, how visitors use the site so we can improve it. They are set only after you consent via the cookie banner, and your choice is remembered on this device.

The specific cookies in each category, their names, durations, and providers will be listed here once finalised. As a pre-launch draft, this section is intentionally generic and does not name specific third-party sub-processors.

Your choices and how to control cookies

Where we use non-essential cookies, you can accept or decline them through the cookie notice on our site, and you can change your mind at any time by clearing the relevant choice in your browser. Declining optional cookies will not block access to the core site.

You can also control cookies directly in your browser settings: most browsers let you view, delete, and block cookies, and refuse cookies from specific sites. Helpful instructions are available in your browser's own help pages. Please note that blocking strictly necessary cookies may prevent parts of the site from working as intended.

If you are in the EU, you have rights under the GDPR in relation to any personal data we process through cookies, including the right to access, rectify, or erase that data and to object to or restrict certain processing. Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

Data location, GDPR and eIDAS

DokDesk is built for the Baltics and the EU, and our intention is for data to stay within the EU and be processed in line with the GDPR. Any personal data collected through cookies on this website is handled under the same principles: lawful basis, data minimisation, purpose limitation, and appropriate security.

DokDesk's signing capabilities are designed around the eIDAS framework (electronic signatures at the SES, AES, and — as an architecture-ready capability — QES level via national eIDs and qualified trust providers). Cookies on this marketing and early-access website are separate from the evidence and signing data handled inside the product, and this policy concerns the website cookies only. Product-side data handling will be described in the relevant product and privacy documentation.

Changes and contact

Because DokDesk is in early access, this Cookie Policy will change as the product matures. When we make material changes, we will update this page and, before public launch, add an effective date and any company-specific details. We encourage you to revisit this page from time to time.

If you have questions about this policy or about how DokDesk uses cookies, you can contact us by email at [email protected]. We will provide a postal address and full company identification details in the finalised version of this policy.
