How it works

From template to a signed contract with full evidence

Five steps, one secure workflow - no PDFs over email, no version chaos, and a defensible record on every signature.

  1. 01

    Step 01

    Template

Start from a reusable template - dynamic fields, variables, text blocks, clauses, structure and party details - so you never rewrite a contract from scratch.

  2. 02

    Step 02

    Contract

Create the contract from a template and link it to your contacts. It holds the parties, the data, the status, the current version and a history of every action.

  3. 03

    Step 03

    Negotiate

Both sides review, propose changes and agree the final wording on one up-to-date version inside DokDesk - no PDFs back and forth over email, no version chaos.

  4. 04

    Step 04

    Sign

Send signers a secure link - no account needed - and capture signatures at the SES, AES or QES level via Smart-ID, Mobile-ID and EU national eIDs.

  5. 05

    Step 05

    Evidence

Every signed contract carries a full evidence base: who signed, when and how, signer email, IP/device metadata, timestamp, audit trail, signature status and the final container.

What's inside

Everything the contract needs, in one workspace

DokDesk covers the whole path from a reusable template to a signed contract with a defensible evidence base - inside a workspace with role-based access for your team.

Reusable templates

Build templates once with dynamic fields, variables, text blocks and clauses, then produce contracts fast - fewer manual errors, consistent wording.

Service agreement

Between {{client}} and {{company}},

fee {{amount}}, valid until {{valid_to}}.

5 fields3 clauses

Smart data fields

Variable data - client, company, address, amount, date, validity term, signer details - fills the contract automatically, so production is fast and accurate.

Contacts

Manage clients, companies, counterparties and signers - individuals, companies and company representatives - and reuse them across contracts and signing.

Three signature levels

SES, AES and QES. The architecture is laid out so Smart-ID, Mobile-ID, eID and qualified providers can plug in. QES is the EU legal equivalent of a handwritten signature.

Signing

Pick the right signature level for each document

DokDesk supports the three eIDAS levels - Simple, Advanced and Qualified. Only a Qualified Electronic Signature (QES) carries the legal effect of a handwritten signature across the EU (eIDAS Art. 25).

SES

Simple Electronic Signature

Click, consent and a typed signature. Cannot be denied legal effect or admissibility just because it is electronic (eIDAS Art. 25(1)) - but it is not handwritten-equivalent.

Use it for: Internal sign-offs, simple consents and low-risk approvals.

AES

Advanced Electronic Signature

Uniquely identifies the signer and links the signature to the document, protecting its integrity. Stronger probative value than SES; not automatically equal to a handwritten signature.

Use it for: Commercial contracts where the signer's identity matters.

QES

Qualified Electronic Signature

The only e-signature with the legal effect of a handwritten signature across all EU member states (eIDAS Art. 25). The architecture is laid out so Smart-ID, Mobile-ID, eID or qualified providers can be plugged in.

Use it for: High-value or regulated agreements that must equal a wet signature.

eIDAS Art. 25 · handwritten-equivalent level

Smart-ID and Mobile-ID - the rails roughly 3 million people across the Baltics already use - plug in for QES. Smart-ID is a certified Qualified Signature Creation Device, so its signatures can qualify as QES and are accepted EU-wide.
